We safeguard participant information, workshop records, and payment details through layered security measures.
All personal data — from registration forms to project photos — is encrypted at rest and in transit. We use AES-256 for stored records and TLS 1.3 for all web traffic. Backups are retained for 30 days and tested quarterly.
Role-based permissions limit who can view or edit participant lists, financial records, and workshop content. Multi-factor authentication is required for admin accounts. Access logs are reviewed weekly.
All online payments are processed through PCI-compliant gateways. We do not store full card numbers or CVV codes on our servers. Transaction tokens are used for recurring workshop fees and material deposits.
A documented response plan covers breach detection, containment, and notification. We run tabletop exercises twice a year with the community team. Any incident affecting participant data is reported within 72 hours.

All workshop bookings are confirmed upon receipt of full payment. Cancellations made more than 14 days before the start date receive a full refund. Cancellations between 7 and 14 days incur a 50% fee. No refunds are issued for cancellations within 7 days of the workshop. HobbleCreekQuilting reserves the right to cancel a workshop due to insufficient enrolment; in such cases, a full refund or transfer to another session is offered.
Assessments and documentation services are provided on a consultation basis. A written estimate is provided before any work begins. Ownership of all original materials remains with the client. HobbleCreekQuilting retains the right to use anonymised documentation for educational and archival purposes unless otherwise agreed in writing.
Program proposals are valid for 30 days from the date of submission. Implementation timelines are estimates and may be adjusted based on community feedback and resource availability. All intellectual property developed during the program remains jointly owned by HobbleCreekQuilting and the partnering community organisation, unless a separate agreement is signed.
These terms are governed by the laws of the Republic of South Africa. Any disputes arising from these services shall first be addressed through mediation before any legal proceedings. HobbleCreekQuilting is not liable for any indirect or consequential losses arising from the use of our services or participation in our workshops.
